● President: Presides over all general and board meetings, serves as the primary liaison between the PTO and school administration, and directs the overall goals of the organization.
● Vice President: Assists the President as needed, performs the duties of the President in the President’s absence, coordinates committee activities, and performs other duties as assigned by the Executive Board.
● Secretary: Keeps an accurate record of all meetings, handles general correspondence, and maintains the official records of the organization.
● Treasurer: Acts as the custodian of all funds, maintains financial records, issues payouts in accordance with the budget, and provides a budget report at every meeting.
Board Members & Committee Chairs
● Corporate Sponsors / Corporate Matching Chair(s): Reaches out to KES families and local businesses for financial support. Make a plan for how to recognize these donors.
● Spirit Wear Chair: Works with a spirit wear vendor directly. Provides opportunities for families and staff to purchase spirit wear. Organizes and keeps inventory.
● Spirit Nights Chair(s): Organizes with local businesses to plan nights or events for families at Kaechele. Promotes/advertises events.
● Back to School Kits Chair: Works with vendors to obtain kits for families. Advertises kits and organizes purchases.
● Membership Chair(s): Provides information about PTO membership and Coyote Fund to the school. Keeps a record of memberships. Encourages families to join at the beginning of the school year. Parent Communication / Volunteer Committees:
● Communications Chair(s): Maintains website and social media sites. Sends updates for Courier weekly. Promotes events throughout the year.
● Room Parent Chair: Coordinates and matches all room parents for each classroom. Communicates with room parents. Supports room parents as needed. Communicates dates with the Communications Chair as needed.
● Yearbook Chair(s): Works with a yearbook company directly. Advertises yearbook sales. Distributes yearbooks at the end of the year. Communicates dates with the Communications Chair as needed.
● Library Chair: Works with the library to create a schedule of volunteers. Organizes and sends reminders to volunteers. Communicates dates with the Communications Chair as needed.
● Copies Chair: Coordinates volunteers to make copies for teachers/KES.
● Watchdog Representative(s): Organizes beginning of the year event for watchdogs. Works with guidance counselors and the front office as needed. Communicates dates with the Communications Chair as needed. Event Committees:
● Programming Chair(s): Organizes programs sponsored by the PTO during the school day or after school (e.g., after-school enrichment programs). Coordinates with the principal on dates and times that work best. Communicates dates with the Communications Chair as needed.
● Fall Festival Chair(s): Organizes and delegates responsibilities for the event. Obtains volunteers and adheres to the budget for the event. Makes sure all safety protocols are met for the event. Communicates dates with the Communications Chair as needed.
● Winter Event Chair(s) (e.g., Bingo Night): Organizes and executes winter events for families. Adheres to budget. Communicates dates with the Communications Chair as needed.
● International Night Chair(s): Organizes and executes international night. Adheres to budget. Communicates dates with the Communications Chair as needed.
● Teacher Appreciation Week Chair / Co-Chairs: Plans and executes teacher appreciation week. Coordinates donations, volunteers, and activities for the week. Communicates dates with the Communications Chair as needed.
● Carnival Chair(s): Organizes and executes Spring Carnival. Obtains vendors, plans activities, and obtains volunteers. Adheres to budget. Communicates dates with the Communications Chair as needed.
● 5th Grade Celebration Chair(s): Organizes and executes 5th-grade end-of-year events. Communicates dates with the Communications Chair as needed.
● Hospitality Chair(s): Organizes teacher events, special days, and helps when needed with hosting monthly grade level luncheons
